This is an Office of the Postsecondary Commissioner position. Position Overview

The Office of the Postsecondary Commissioner invites applications for the full-time position of Administrative Coordinator.

The R.I. Nursing Education Center is a shared facility between the RIC and URI nursing programs – as well as Brown University. The nursing education center will feature 133,000 square feet of shared simulation labs, clinical teaching labs, mock hospital areas and classrooms, as well as offices that represent a significant upgrade in teaching technology and learning environments.

This individual is responsible for coordination of the administrative and operational business of the academic and research programs of the RINEC, providing critical analysis of data for use by the Center, and assisting in coordination of activities essential for the efficient functioning of RINEC.

Primary Purpose

Responsible for coordination of the administrative and operational business of the academic and research programs of the RINEC, providing critical analysis of data for use by the Center, and assisting in coordination of activities essential for the efficient functioning of RINEC.

Essential Duties

• Schedule classroom and laboratories through coordination with the Deans’ offices at both Rhode Island College (RIC) and the University of Rhode Island (URI).
• Schedule and monitor all outside use of RINEC.
• Arrange, schedule and conduct special events such as meetings, conferences, and social events at RINEC.
• Support marketing and outreach efforts of RINEC.
• Answer phones and greet visitors.
• Maintain the Executive Director’s calendar.
• Assist with the preparation of academic programmatic reports both regular and ad hoc reports as directed, and compile data as needed by the Executive Director, Deans, and NEC Management Committee.
• Supervise and coordinate the work of subordinates, including students.
• Coordination of financial matters pertaining to RINEC.
• Reconciliation of the budgets and accounting records to ensure proper use of the funds allocated, funded research, match commitments, and other financial resources including federal, state, foundation, and private resources.
• Monitoring of assigned accounts and maintaining accurate financial records using the PeopleSoft system.
• Preparation and maintenance of Excel spreadsheets for financial reporting and analysis.
• Preparation of specialized financial reports and analysis including allocations, mid-year reviews, agency specific reporting.
• Interaction with the business and finance departments of both RIC and URI.
• Procurement of goods and services required by the NEC.
• Handle information of a sensitive and confidential nature.

Occasional Duties

• Work non-standard hours as required.

Required Skills, Knowledge, and Abilities

• Ability to work non-standard hours.
• Strong interpersonal skills and ability to communicate effectively verbally and in writing
• Ability to interpret institutional policies, plans, objectives, rules, and regulations
• Demonstrated experience using Microsoft Office Suite, including Excel, PowerPoint, and Word
• Ability to work with a diverse population
• Ability to multitask in a fast-paced environment, and to work with minimal supervision in a deadline-driven environment, balancing multiple priorities; ability to handle information of a sensitive and confident nature
• Demonstrated strong writing skills
• Demonstrated ability to understand budget concepts
• Demonstrated experience managing multiple, large financial resources and budgets
• Demonstrated experience using graphics and presentation software to create presentations and reports.

Required Qualifications

Education: Bachelor’s degree

Experience: Minimum of three years of experience in academic, finance, research, business, or public administration at a complex organization

Preferred Qualifications

• Experience in a higher education setting.
• Experience utilizing PeopleSoft software including student, human resource, and financials modules
• Experience working with undergraduate and graduate students.
