Position Overview

The Office of the Postsecondary Commissioner invites applications for the full-time position of Administrative Coordinator.

The Rhode Island Nursing Education Center (RINEC) is overseen by the Rhode Island Office of the Postsecondary Commissioner. It is a shared facility between RIC School of Nursing and URI College of Nursing. The RINEC occupies approximately 132,000 square feet of South Street Landing. It includes shared simulation suites, skills labs, and classrooms as well as institutional faculty offices. The RINEC offers state-of-the-art learning environments for the nursing students of RIC SON & URI CON.

Primary Purpose

This individual is responsible for coordination of the administrative operations of the RINEC and assisting in coordination of activities essential for the efficient functioning of RINEC.

Essential Duties

• Schedule classroom and simulation spaces through coordination with the Simulation Educators at both Rhode Island College (RIC) and University of Rhode Island (URI).
• Schedule and monitor all outside use of RINEC spaces.
• Arrange, schedule, and conduct special events such as meetings, conferences, and social events at RINEC.
• Support marketing and outreach efforts of RINEC.
• Answer phones and greet visitors.
• Maintain the Executive Director’s calendar.
• Assist with the preparation of academic programmatic reports as directed, and compile data as needed by the Executive Director and RINEC Management Committee.
• Reconciliation of the budgets and accounting records to ensure proper use of the funds allocated, funded research, match commitments, and other financial resources including federal, state, foundation, and private resources.
• Monitoring of assigned accounts and maintaining accurate financial records using the PeopleSoft system.
• Preparation and maintenance of Excel spreadsheets for financial reporting and analysis.
• Procurement of goods and services.
• Handle information of a sensitive and confidential nature.
• Perform other duties as required.

• Ability to interpret institutional policies, plans, objectives, rules, and regulations.
• Demonstrated experience using Microsoft Office Suite, including Excel, PowerPoint, and Word. For example, using graphics and presentation software to create presentations and reports.
• Ability to work with diverse populations.
• Ability to multitask in a fast-paced environment, and to work with minimal supervision in a deadline-driven environment, balancing multiple priorities.
• Ability to handle information of a sensitive and confidential nature.
• Demonstrated strong writing skills.
• Demonstrated ability to understand budget concepts.
• Demonstrated experience managing multiple, large financial resources and budgets.

Required Qualifications

Education: Bachelor’s degree.
Experience: Minimum of three years in academics, finance, research, business, or public administration at a complex organization.
